Business process flows are used to guide
you through the steps of your business process. When you are working with model
driven apps and Microsoft data verse. Imagine a business situation where
customers with annual revenue over a certain figure are automatically
assigned a credit limit. We can create a business flow which will
look at the customer's annual income and which can then take two different
steps based on the figure given. Once created, this business flow can be
added to any model driven app based on the same table or set of tables which
extends the functionality of that app. Let's get started with building
your business process flow. Launch power automate and
sign in using your organizational account. In the left pane, select My Flows. On the top bar,
select Business process flows. Select New on the action bar. The build a business process
flow pain will open, notice that there are required fields. The first step is to add a flow name. This name doesn't have to be unique. However, you should assign a name that
will be meaningful and informative. Remember that this business flow will be
a component that others will be able to include in the apps that they build and
it is this flow name that they will see. You can rename the flow name after
it has been created if you need to. You are going to call this
flow assign credit limit. The second field, the name field,
is also a required field. This is a background name that
will be assigned to the flow. The flow builder will
automatically create one for you or you can assign a custom name. You can accept the custom name. The choose a table box is where you
select the table to base the process on. You will need to consider this choice
carefully for several reasons. First, you cannot change the table name
after the process has been created. Second, the table that you select affect
the columns that are available for steps in the business process flow. And third, because the flow will be available to all
model driven apps based on that table. You can choose Account for this example. Click Create. The new process is created and the
business process flow designer is started. The business flow designer
page has three sections. On the left, a single stage named account new stage
has already been created for you. This will essentially be the first
stage of the process flow. Beneath this stage is the mini map
which lets you see the whole process or quickly go to a part of the process. If you are creating complex
flows with many stages, this will help you to navigate the flow
and jump to particular areas to edit. On the right are components that
you can drag into the designer. You can also set properties to
create a business process flow. You are now ready to add steps that
will allow the user to move from one business stage to another in
the business process you are automating. One important thing to remember
is that you must click on the Apply button when you add a stage or
make any adjustment to a stage or step. Click on the Account New Stage box
on the left of the designer screen. The properties tab will automatically
open on the right hand side. The first step in the process that you
want to automate is to check the annual revenue of a new customer. So that is the name you
will add to the stage. If you create a large amount of business
flows, they can be assigned to categories. However, you are leaving
this blank in this instance. You'll notice that the account table is
already listed under entity, click Apply. You should also notice that the stage has
now been renamed in the designer screen. You now need to add a step to this stage. By default,
each stage will contain one step but you can create multiple steps in each
stage depending on your requirements. Expand the details of this first stage. Click on Data Step 1 to
select the default step so that you can customize the details
in the property screen to the right. Just like stages,
steps should also be given names. You can type the name Set Annual Revenue. The step will also need to be
associated with one of the columns in the account table. In the data field drop down select Annual
revenue field and then click Apply. Congratulations, you have built the first
part of your business process flow.
